Terms of Service

Draft notice. These terms are prepared for launch preparation and reflect how the product actually works. They must be reviewed by a South African attorney before the first paying customer — see docs/go-to-market.md. The bracketed fields below need to be filled in before this page goes live.

1. Acceptance

By creating a Paperless Job Card account or using the Paperless Job Card mobile app or admin console, you agree to these Terms on behalf of the company you represent. If you don't have authority to bind that company, don't create an account.

2. The service

Paperless Job Card is a multi-tenant, offline-first digital job card platform for field-service companies: creating job cards, capturing on-site signatures, and producing signed PDF records.

3. Who this is for

Paperless Job Card is sold to companies and organizations for use by their employees or contractors — not to individual consumers for personal use. Every account is created under a company account, and every user is a named member of that company with an assigned role.

4. Accounts and roles

A company admin creates the company account and invites technicians, supervisors and other admins. Each role sees a different scope of the company's job cards, enforced by the database itself — see our Privacy Policy for how. You're responsible for keeping your login credentials confidential and for what happens under your account.

6. Consent to processing outside South Africa

Paperless Job Card's infrastructure is hosted in the European Union. By using the service, you consent, on behalf of your company, to your company's data (including personal information captured on job cards) being transferred to and processed in the European Union, as required by POPIA section 72.

7. Subscriptions and billing

Subscriptions are sold and billed through our website, never inside the mobile app. The app itself contains no pricing, no upgrade prompts and no purchase links — if a feature isn't included in your plan, the app tells you to contact your company admin. Current plans and pricing are published on our website, not in these Terms, so this document doesn't go stale when pricing changes.

8. Acceptable use

Don't use Paperless Job Card to store or process anything you don't have the right to, attempt to access another company's data, or interfere with the service's operation.

9. Data ownership

Your company owns the job card data it creates. We don't use it for anything beyond providing the service to you, and we don't sell it.

10. Account and data deletion

Every account includes an in-app option to delete it, described in our Privacy Policy. Signed job cards are retained for five years after deletion, as required by SARS record-keeping rules.

11. Termination

We may suspend or terminate an account that breaches these Terms. You may stop using the service and delete your account at any time as described above.

12. Warranty and liability

The service is provided as-is. To the extent permitted by law, we're not liable for indirect or consequential losses arising from your use of the service. Nothing here limits liability that can't be limited under South African law.

13. Governing law

These Terms are governed by the law of the Republic of South Africa.

14. Changes to these terms

If these Terms change materially, we'll update the date at the top and notify company admins through the admin console.
